Our electronic contracts has the option to put the deadlines on a calendar, and send you an email .   The emails can be for the same day, or 1-2 days prior.

I have a checklist that I use for every transaction.  It has the name and contact number of all parties and vendors, and due dates.  It works well for me.

I have a list in Evernote that is a check list.  I have one for new listings and one for my listings that go pending and a third for not my listing, but I bring the buyer and have it pending.  Different sides, different lists

I think these days you really have to. However, I try and make it easy for the realtors. Once I get the application and contract, it is my job to get done and to closing. If an agent thinks they need to have a system for keeping everything on track, it says to me that a lender is not doing his job. I never get a phone call from an agent saying "what's the status", because I e-mail or call them first. I inform them about title, appraisal, underwriting, conditions, and when they are cleared. Contingecy dates and closing dates are very important on purchases, so  those are the dates I go by.

I use CTME for my contracts and the deadlines transfer over to my Outlook.  CTME also emails me of crucial dates as they approach.

System, Schmystem.  Stuff happens. In my experience, it wasn't so much being sure things stayed on track... as getting things back on track when they went awry!    Good communication by everyone is usually the key to that.
